MEETING & STUDY ROOMS

Meeting Rooms (for larger groups)

The library has a variety of rooms available for public use, including a large meeting room at the Main Library, and smaller meeting rooms at the North Quincy and Adams Shore branches.

To reserve a meeting room, submit an online reservation request or print and fill out a meeting room use application and mail to Thomas Crane Public Library, 40 Washington St., Quincy MA 02169. For more information about reserving a meeting room, call the library's administrative office at 617-376-1312.

Meeting Room Use Policy At-a-Glance

  • Meeting room use is available only for non-profit community groups and individuals.
  • Rooms are available for booking Monday-Friday only, during regular library hours. Saturday and Sunday use is available only by special request with Board of Trustees approval.
  • Reservations must be made at least one week ahead and no more than three months ahead of the requested date.
  • In order to ensure equitable access for all eligible applicants, use of library meeting rooms will be limited to three times per calendar year per organization or individual, except by Board of Trustees approval.
  • There is a 20 person minimum for the Main Library Large Meeting Room.
  • All meetings and events must be open to the public and free.
  • No fundraising, solicitation, development of business, or other commercial purposes are allowed. No contact or sales lists may be compiled, and no goods or services shall be promoted, sold, or exchanged.
  • Publicity for a meeting or event should not list the Library's phone number for further information nor should it suggest that the Library endorses or sponsors the meeting.
  • Applicants are responsible for setup, breakdown, and cleaning of meeting rooms after use.
  • Tables and chairs are available at each location; no audiovisual or PA equipment is available for loan or rental.
  • Any individual or organization using a Library meeting room agrees to indemnify and hold harmless the Thomas Crane Public Library and its Board of Trustees and the City of Quincy and its officials for any and all liability which may arise from the use of the premises.
  • All City of Quincy ordinances and Library regulations must be strictly observed. Responsibility for observing all meeting room regulations is assumed by the person(s) who submit this application.

Study Rooms (for small groups and individuals)

There are four small study rooms at the Main Library with room capacities ranging from two to twelve. Rooms may be booked up to four weeks in advance and may also be used by walk-ins if not previously reserved. To reserve a study room, call 617-376-1301.

Study Room Use Policy At-a-Glance

  • Study rooms are available only for non-profit community groups and individuals for educational purposes.
  • Rooms are available Monday through Friday from 9:00 a.m. to 8:45 p.m., Saturday from 9:00 a.m. to 4:45 p.m., and Sunday from 1:00 to 4:45 p.m.
  • Study rooms are reserved for use by the Library's Literacy Project after 5:00 p.m. Monday to Thursday. Walk-in users may use rooms after 5:00 p.m. if they are not reserved for the Literacy Project, but must vacate if a Literacy Project tutor requests a room.
  • Priority for use of the Adaptive Technology Room will be given to users who need assistive technology, including people with disabilities and literacy tutors.
  • Reservations may be made up to four weeks in advance. Individuals/groups may reserve one room up to two times in a week. Rooms may be reserved for up to two hours in a day.
  • Reserved rooms will not be held more than 15 minutes past the time reserved, and may be assigned to the next applicant after that time.
  • Study rooms shall not be used for entrepreneurial or commercial purposes, for the solicitation or development of business, for profit or for fundraising, for religious services or proselytizing, for individual political campaigns or partisan political recruitment, or for gambling or games of chance.
  • No food or drink is allowed in the study rooms. Study rooms must be left clean, and in the same condition as found.
  • Children must be supervised at all times by a responsible adult or child aged 14 or older.
  • Study room activities must not interfere with or disturb Library staff or users. Music and other noise must be kept to a level acceptable to the Library.
  • Any individual or organization using a Library meeting room agrees to indemnify and hold harmless the Thomas Crane Public Library and its Board of Trustees and the City of Quincy and its officials for any and all liability which may arise from the use of the premises.
  • All City of Quincy ordinances and Library regulations must be strictly observed, including room capacity.
